How TDS reconciliation works

TDS reconciliation is the process of matching the tax deducted at source in your books against the amounts deposited via challans and the credits reflected in the deductee's Form 26AS or Annual Information Statement. The goal is to ensure every rupee deducted is deposited on time, reported correctly in the quarterly return, and credited to the right PAN.

1 Extract from multiple sources

TDS data lives in three places: your books (TDS payable ledger), the bank (challan deposits), and the government portal (Form 26AS/AIS). Reconciliation starts by extracting all three for the same quarter.

2 Match challans to deductions

Every TDS deduction must be deposited to the government via a challan by the 7th of the following month. Matching confirms the amount deducted equals the amount deposited, and the challan carries the correct BSR code and section.

3 Reconcile with 26AS/AIS

The quarterly return creates credits in each deductee's Form 26AS. Reconciling books to 26AS ensures every deductee sees the correct credit. Mismatches here cause the deductee to lose TDS credit in their income tax return.

4 File and certify

Once reconciled, file the quarterly return (24Q/26Q/27Q), generate TDS certificates (Form 16A), and distribute them to deductees. Correction statements fix errors from prior quarters.

Do this, avoid that

✓ Do this

  • ✓ Deposit TDS by the 7th of the following month to avoid interest under Section 201(1A)
  • ✓ Verify deductee PAN before filing; an incorrect PAN means no credit in their 26AS
  • ✓ Reconcile challans to 26AS every quarter, not just at year-end
  • ✓ Track lower/nil deduction certificates and their validity periods
  • ✓ Run FVU validation on the return file before uploading to TRACES
  • ✓ File correction statements promptly when errors are discovered

✕ Avoid that

  • ✕ Deposit TDS late and ignore the interest liability; it compounds and attracts penalties
  • ✕ File the return without matching to 26AS; deductees lose credit and raise disputes
  • ✕ Apply a lower deduction rate without a valid Section 197 certificate on file
  • ✕ Use incorrect section codes; a 194C payment reported under 194J changes the rate and triggers a demand
  • ✕ Wait until the annual return to reconcile quarterly differences
  • ✕ Ignore "PAN not available" flags; they trigger TDS at the highest marginal rate

TDS reconciliation terms, explained

Form 26AS

An annual tax credit statement maintained by the Income Tax Department. It shows all TDS credits, advance tax payments, and self-assessment tax deposits linked to a PAN. Deductees use it to claim TDS credit in their income tax return.

Challan (ITNS 281)

The payment instrument used to deposit TDS with the government. Each challan carries a BSR code (bank branch identifier), serial number, date of deposit, and the section under which TDS was deducted.

BSR Code

Basic Statistical Return code. A 7-digit number assigned to each bank branch by the Reserve Bank of India. It uniquely identifies the branch where the TDS challan was deposited and is required for return filing.

TRACES

TDS Reconciliation Analysis and Correction Enabling System. The government portal where deductors file TDS returns, download Form 26AS, request TDS certificates, and submit correction statements.

Section 197 Certificate

A certificate issued by the Income Tax Department authorizing a deductee to receive payments with TDS at a lower rate or nil rate. The deductor must verify its validity before applying the reduced rate.

FVU Validation

File Validation Utility. A software tool provided by NSDL/Protean that checks TDS return files for structural and data errors before they can be uploaded to TRACES. A return that fails FVU cannot be filed.

Frequently asked questions

TDS reconciliation is the process of matching the tax deducted at source in your accounting books against the challan deposits made to the government and the credits reflected in the deductee's Form 26AS or Annual Information Statement. It ensures every deduction is deposited on time, reported in the correct quarter, and credited to the right PAN.
TDS deducted during a month must be deposited by the 7th of the following month. For March deductions, the deadline is April 30. Late deposits attract interest at 1.5% per month (or part of a month) under Section 201(1A), calculated from the date of deduction to the date of deposit.
This typically happens when the quarterly return has not been filed, or the return contains incorrect PAN, challan, or section details. The deductee cannot claim TDS credit until it appears in their 26AS. File or correct the return on TRACES, and the credit usually reflects within 3-5 business days.
Form 24Q covers TDS on salary payments (Section 192). Form 26Q covers TDS on all non-salary payments to residents (Sections 193 to 196D). Form 27Q covers TDS on payments to non-residents (Section 195 and others). Each form is filed quarterly with different data requirements.
Log in to TRACES and download the consolidated file (conso file) for the relevant quarter. Prepare a correction statement using TDS return preparation software, update the incorrect records, run FVU validation, and upload the corrected file to TRACES. There is no limit on the number of corrections you can file.
Bluecopa imports TDS data from your accounting system, matches it against challan deposits and Form 26AS credits automatically, and flags mismatches in real time. It tracks section-wise rates, lower deduction certificates, and deposit deadlines, and prepares return-ready data with a complete audit trail.
