How intercompany reconciliation works

Intercompany reconciliation is the process of matching and resolving balances between entities within the same corporate group. When Entity A records a receivable from Entity B, Entity B should record a corresponding payable. The goal is to ensure these balances agree before elimination entries are posted during consolidation.

1 Collect from both sides

Each entity in an intercompany pair reports its receivable/payable and revenue/expense balances for the period. Both must use the same FX rates and cutoff dates to avoid translation differences.

2 Match pair by pair

The receivable on Entity A's books should equal the payable on Entity B's books. Mismatches arise from timing differences, FX rate discrepancies, billing errors, or unrecorded transactions.

3 Resolve differences

Investigate each mismatch, agree on the correct amount with the counterparty, and post correcting entries. Both entities must reflect the same final balance before elimination.

4 Prepare for elimination

Once pairs match within tolerance, prepare elimination schedules that zero out intercompany balances in the consolidated financial statements. Archive evidence for audit.

Do this, avoid that

✓ Do this

  • ✓ Require all entities to submit balances using the same FX rates and cutoff dates
  • ✓ Match at the invoice level, not just the total balance, to catch offsetting errors
  • ✓ Age open intercompany items and escalate anything older than one period
  • ✓ Require bilateral sign-off from both entities before handing off eliminations
  • ✓ Standardize the intercompany invoice format across all subsidiaries
  • ✓ Track dispute resolution with timestamps and supporting documentation

✕ Avoid that

  • ✕ Rely on net-balance matching alone — offsetting errors hide underneath
  • ✕ Let entities use different cutoff dates or FX rate sources
  • ✕ Carry forward unresolved mismatches without documented justification
  • ✕ Post one-sided adjustments without the counterparty's agreement
  • ✕ Wait until year-end to reconcile — monthly reconciliation prevents compounding
  • ✕ Assume small mismatches are immaterial — they accumulate across entity pairs

Intercompany reconciliation terms, explained

Intercompany Pair

Two entities within the same corporate group that have a direct transactional relationship. Each pair has a receivable on one entity's books and a corresponding payable on the other's.

Bilateral Confirmation

A sign-off process where both entities in an intercompany pair independently confirm that their reported balances agree (or agree within an acceptable threshold) before elimination entries are posted.

Netting Agreement

A formal arrangement between group entities to offset mutual receivables and payables, settling only the net amount in cash. It simplifies treasury operations but does not replace the need for reconciliation.

Transfer Pricing

The pricing methodology used for goods, services, or intellectual property exchanged between related entities. Transfer pricing policies must follow arm's-length principles and can affect intercompany balance alignment.

Currency Translation Difference

The variance that arises when two entities in an intercompany pair record the same transaction in different currencies and translate to the reporting currency at slightly different rates or timing.

Elimination Schedule

A document prepared after intercompany reconciliation that lists all intercompany balances and the corresponding elimination journal entries needed to remove them from the consolidated financial statements.

Frequently asked questions

Intercompany reconciliation is the process of matching and resolving the balances between entities within the same corporate group. When Entity A records a receivable from Entity B, Entity B should record a corresponding payable. Reconciliation ensures these balances agree before elimination entries are posted during consolidation.
Intercompany reconciliation is the matching and dispute resolution step — confirming that both entities agree on their mutual balances. Intercompany close is the broader process that includes reconciliation plus posting elimination entries, removing unrealized profit, and completing the consolidated financial statements.
Timing differences occur when one entity books a transaction in a different period than the counterparty (e.g., an invoice sent on the last day of the month). The standard approach is to agree on a common cutoff date and require both entities to book intercompany transactions by that date. Invoices in transit at cutoff are documented as reconciling items.
Bilateral confirmation means both entities in an intercompany pair independently verify that their balances agree. It prevents one-sided adjustments that could mask errors or disputes. Without bilateral confirmation, elimination entries may be based on incorrect balances.
Monthly at minimum, aligned with the financial close cycle. More frequent reconciliation (weekly for high-volume pairs) reduces the backlog of mismatches and speeds up the close. Waiting until quarter-end or year-end makes investigation harder and delays consolidation.
Bluecopa imports intercompany balances from each entity, automatically matches receivable-payable pairs, and flags mismatches in real time. It provides a structured dispute resolution workflow with bilateral sign-off tracking and prepares elimination schedules with a complete audit trail.
