Set up your e-invoicing checklist in four steps

1

Map your invoice schema

Align every ERP invoice field to the government-mandated e-invoice JSON format. Validate HSN codes, tax rates, and place-of-supply logic before connecting to the IRP.

2

Integrate with the IRP

Register on the Invoice Registration Portal, obtain API credentials, and configure your ERP for real-time IRN generation. Test in sandbox before switching to production.

3

Validate and reconcile

Run end-to-end tests covering invoices, credit notes, and debit notes. Cross-check IRN data against GSTR-1 auto-population and GSTR-2A/2B for input tax credit accuracy.

4

Monitor and maintain

Set up daily reconciliation between IRNs and posted invoices. Track API health, schema version updates, and threshold changes from GSTN to stay compliant as rules evolve.

How e-invoicing compliance works

E-invoicing is a system where B2B invoices are electronically authenticated by the government's Invoice Registration Portal (IRP) before being shared with the buyer. The IRP validates the invoice data, generates a unique Invoice Reference Number (IRN) and a digitally signed QR code, and auto-populates the seller's GST return.

1 Schema mapping

Your ERP invoice fields are mapped to the government's e-invoice JSON schema. HSN codes, tax rates, and buyer-seller GSTINs are validated before any invoice reaches the IRP.

2 IRN generation

Each invoice is sent to the Invoice Registration Portal via API. The IRP returns a unique Invoice Reference Number (IRN), a digitally signed QR code, and auto-populates GSTR-1.

3 Reconciliation

Generated IRNs are matched against posted invoices daily. Exceptions like rejections, cancellations, and schema errors are flagged and routed to the responsible team for resolution.

4 Continuous monitoring

API health, token expiry, schema version changes, and GSTN threshold updates are tracked in real time. SOPs ensure exceptions are handled before they become compliance gaps.

Do this, avoid that

✓ Do this

  • ✓ Test e-invoice generation in the IRP sandbox before switching to production
  • ✓ Validate GSTIN of every buyer and seller before invoice submission
  • ✓ Set up automated alerts for API token expiry and schema version changes
  • ✓ Reconcile IRNs against posted invoices daily to catch mismatches early
  • ✓ Archive signed e-invoices and QR codes for audit trail and compliance retention
  • ✓ Keep HSN/SAC code masters updated with the latest GSTN notifications

✕ Avoid that

  • ✕ Going live on production without completing sandbox validation
  • ✕ Ignoring IRN cancellation windows and letting invalid invoices persist
  • ✕ Manually entering invoice data instead of automating ERP-to-IRP integration
  • ✕ Skipping credit note and debit note testing during the validation phase
  • ✕ Assuming GSTIN data in your vendor master is correct without periodic re-validation
  • ✕ Treating e-invoicing as a one-time setup instead of continuous compliance monitoring

E-invoicing terms, explained

IRN (Invoice Reference Number)

A unique 64-character hash generated by the IRP for every e-invoice. It serves as the government-assigned identifier that makes an invoice legally valid under GST e-invoicing rules.

IRP (Invoice Registration Portal)

The government portal that receives invoice data via API, validates it against the e-invoice schema, generates the IRN and digitally signed QR code, and pushes the data to GST and e-way bill systems.

QR Code (Quick Response Code)

A machine-readable code embedded on the e-invoice containing key details like supplier GSTIN, IRN, invoice value, and number of line items. Used for quick verification by tax authorities and buyers.

HSN Code

Harmonized System of Nomenclature code used to classify goods for GST purposes. Every line item on an e-invoice must carry the correct HSN (for goods) or SAC (for services) code to determine the applicable tax rate.

GSTR-1 Auto-Population

When an IRN is generated, the e-invoice data automatically flows into the supplier's GSTR-1 return. This eliminates manual data entry and reduces mismatches between invoices and filed returns.

E-Way Bill Integration

For goods shipments above the threshold value, the e-invoice system can auto-generate Part A of the e-way bill using the same invoice data, removing the need for duplicate data entry on the e-way bill portal.

Frequently asked questions

E-invoicing is a system where B2B invoices are electronically authenticated by the government's Invoice Registration Portal (IRP) before being shared with the buyer. The IRP validates the invoice data, generates a unique Invoice Reference Number (IRN) and a digitally signed QR code, and auto-populates the seller's GST return (GSTR-1). It replaces manual invoice uploads with real-time, machine-readable reporting.
E-invoicing applies to businesses whose aggregate turnover exceeds the threshold set by the GSTN (currently Rs 5 crore for most categories). It covers B2B invoices, exports, and supplies to SEZ units. B2C invoices, import bills, and certain exempt categories (banking, insurance, railways) are not covered. The threshold has been progressively lowered since 2020, so businesses should check the latest notification.
An e-invoice can be cancelled on the IRP within 24 hours of IRN generation. After 24 hours, cancellation must be done on the GST portal directly. Amendment of e-invoices is not supported; instead, you issue a credit note or debit note (which also requires its own IRN) and generate a corrected invoice. This makes it critical to validate invoice data before submission.
When the IRP generates an IRN, the invoice data auto-populates the seller's GSTR-1. The same data also appears in the buyer's GSTR-2A/2B, which they use to claim input tax credit. This two-way auto-population reduces mismatches between seller-reported and buyer-claimed data, which was the primary compliance gap e-invoicing was designed to close.
If the IRP is unreachable due to downtime or network issues, your ERP should queue the invoice and retry automatically once connectivity is restored. Invoices generated without an IRN are not valid under e-invoicing rules. Most ERP integrations implement a retry mechanism with exponential backoff and alert the finance team if an invoice remains unregistered beyond a configurable window.
Platforms like Bluecopa automate the full e-invoicing lifecycle: schema mapping, real-time GSTIN validation, IRN generation via IRP API, QR code embedding, and GSTR-1 reconciliation. They also handle credit/debit note flows, cancellation windows, and exception routing. The result is that finance teams move from manual spreadsheet checks to automated, real-time compliance with a complete audit trail.
